The Hearing Clinic is an award winning private hearing healthcare clinic based in Hitchin and Radlett. We are about to open a third clinic in the lovely village of Welwyn. We are looking for a senior administrator to help manage the smooth running of our 3 clinics.
The successful candidate will benefit from:
- Full private healthcare once probation has been completed
- Salary: £25K-£30K FTE
- 20 days annual leave

Job Summary:
To work closely with the Director and Senior Medical Secretary, to provide a timely and responsive service for the implementation and maintenance of all business, administrative, clinical, and patient services.
1. Overseeing the smooth running of all 3 clinics from Monday to Friday
2. Working closely with the Senior Medical Secretary in managing all administrative duties:
- Managing and responding to a range of incoming enquiries.
- Managing clinician schedules across the 3 clinics.
- Booking new and follow up audiology appointments.
- Managing patient waiting lists.
- Managing report writing and report sending.
- Managing referrals into and out of the clinic (GP/ENT/other).
- Managing and monitoring hearing aid and other equipment repairs.
- Raising invoices/chasing payment of unpaid invoices.
- Liaising with medical insurance companies.
- Managing health and safety in workplace.
- Managing fire safety protocols within the workplace.
- Managing annual leave rotas.
- Managing admin staff appraisals.
- Liaising with IT companies to manage and resolve IT issues.
- Managing and resolving issues that arise to ensure the smooth running of the clinic and to maintain high standards of patient care.
- Managing TrustPilot, Mailchimp and other platforms.
- Managing and resolving patient complaints.
3. Assisting the admin team with all administrative duties including:
- Reception duties.
- Answering telephone queries from members of the public and existing patients, giving information or passing messages to colleagues.
- Making appointments via phone or email for patients using a clinic booking and patient management software.
- Typing letters and reports from an audio dictation.
- Preparing and sending documents, such as medical reports, referrals or clinical notes via post and secure email.
- Dealing with paper and email correspondence.
- Updating patient records.
- Maintaining a filing system.
- Cleaning of clinic rooms.
Essential core skills:
- Reliable and consistent team player. Good teamworking essential.
- Will receive patients into the clinic. Must be well presented and welcoming.
- Excellent telephone manner. Good listening and communication skills.
- Quick learner. Able to learn and retain complex information.
- Attention to detail and ability to spot errors.
- All round accuracy of work essential.
- Thoroughness.
- Always follow systems and procedures.
- Polite and friendly, not easily flustered.
- Able to work under pressure and remain calm.
- Able to work flexibly.
- Excellent IT skills required. Must be confident using MS suite and other programs such as SharePoint MS Teams etc
Conditions:
- Full enhanced CRB check required.
- Must be UK resident with legal right to work.
- Must comply with all company policies and procedures.
- 4 month probation period which may be extended to 6 months if required.
- There will be some occasions when you will be in the clinic working alone.
- Will need to travel between the Welwyn and Hitchin clinics.
- You may be asked to work overtime to cover holidays.
First interview – Zoom interview.
Second interview – in clinic.
All candidates will be required to complete a personality assessment, typing test and demonstrate confident use of MS word and Excel.
